Teachers mark who is absent. Within seconds, each parent gets a WhatsApp message. We designed, built and run this system for two Oxford Matriculation School campuses — and it has sent 6,812 absence alerts since June 2026.

When a child does not reach school, the parent needs to know that morning — not at the end of the week. With more than a thousand students on each campus, phoning every absent child's family by hand was not realistic, and SMS messages were easy to ignore.
The school wanted something simple. A teacher opens a class, ticks the absent students and presses one button. The right parent gets a WhatsApp message on the number they actually use. The office can see what went out, what failed, and why.
It also had to be safe to run for years: student records backed up every day, clear costs per message, and nothing a busy teacher could break by accident.

These screens are from a copy of the real system filled with made-up demo students. The live system looks the same, with real class lists.
Step 1 · Sign in
Admins and teachers sign in with separate accounts. Each login is recorded with time and IP address, so the office always knows who marked what.
Step 2 · Mark attendance
The teacher picks a class, section and date, ticks the absent students and submits. The system sends one WhatsApp message to the chosen parent — mother by default, father if that is the better number. If a class was already marked, it warns that no duplicate messages will go out.
Step 3 · The office sees it live
Present and absent counts for today, messages sent over the last seven days, and the WhatsApp balance — how many messages are left at ₹0.50 each — all on one screen.
Step 4 · Reports & follow-up
Message reports can be filtered by date, class and status and exported to Excel. Failed messages can be retried in one click, and a separate "Number Issues" list shows which parent numbers need fixing.

The office uploads the whole student list from an Excel sheet, with a sample file to follow. Students can also be added and edited one at a time.
An append-only ledger tracks every recharge and every message, so the school always sees exactly how many alerts are left.
Mark school holidays so no one is marked absent by mistake, and view a class-wise attendance register for any date range.
Open any student to see every day they were absent and every message sent to their family — useful for parent meetings.
The database is backed up every night at 2 AM and the full app every Sunday, with one-click restore and an optional Google Drive copy.
Most of the real work in a system like this is in the details you only notice when they go wrong.

Sending to both parents doubles the cost, and families with one shared phone get the same message twice.
What we did
Each alert goes to one parent. Mother is the default; the teacher can switch to father, and if one number is missing the system falls back to the other automatically.

Teachers sometimes submit the same class again after a correction, which would re-send every alert.
What we did
A class can only be marked once per day. Corrections update attendance without sending new messages, and the screen says so clearly.

If the balance were calculated from sent messages, deleting a student would quietly give money back that had already been spent.

Credits and debits are stored as a permanent ledger, one row per accepted message. Deleting records never changes the balance.

Of 6,812 alerts, 48 were not accepted — almost always a wrong or incomplete parent number in the original Excel sheet.

Numbers are cleaned into one standard format before sending, failures are logged with the reason, and a "Number Issues" page lists the families the office needs to call.
The parts parents never see, but the school relies on every week.

The attendance screen is the whole product for a teacher. Search, select-all and a single send button mattered more than any report.
Data quality is the real failure point
The software sends reliably; wrong numbers in the original spreadsheet are what fail. Building a tool to find and fix them paid off quickly.
Costs must be visible
Showing "messages left" on the dashboard means the office recharges before it runs out, not after parents stop getting alerts.

Yes. Messages are sent as approved WhatsApp templates through a WhatsApp Business API provider, not from a personal phone. That keeps the school's number safe from being blocked and lets every message be tracked.
